Office Policies


In scheduling appointments, it is our intent and wish to see you as soon as possible, given the constraints of our mutual schedules. Please be aware that we are mindful of emergencies, which may arise or the urgency with which you may need to be seen. Our staff and physicians will make every effort to accommodate your requests. To schedule an appointment, please call our office at 703.532.5436, Monday-Friday, between 7:30 a.m. to 12:30 p.m. and 2:00 p.m. to 4:30 p.m.

Please note, we will make every effort to see you on time at your scheduled visit. However, individuals arriving early for their appointments may not be taken until the scheduled time, to avoid delaying other patients unnecessarily. In addition, when you are unable to keep your scheduled appointment, you must call the office to cancel within 24 hours, so we may make that time available to another patient. Individuals failing to notify the office in advance of a missed appointment will be charged $50.



Patients are requested to make regularly scheduled office visits in advance of running out of medications, and are expected to be aware of the refill status of regularly taken medications. All prescription refill requests for regularly taken medications made outside of scheduled office visits will be assessed a service fee. To avoid this charge, patients are instructed to schedule their doctor visits before running out of medicine and have all needed prescriptions before leaving the office at the time of their appointments.


Clinical Phone Calls

To avoid disrupting daily patient flow, please choose the phone option and follow the instructions for a return call from a nurse. Please indicate where you may be reached during the day or whether we have permission to leave a message at the number provided. Messages are retrieved throughout the business day. Urgent requests are handled as soon as possible. All other calls requiring follow up will be returned before the end of the next business day.


Medical Records

Original records are the property of the Practice and will not be released. Per federal regulations, we require a signed Release of Medical Records form prior to processing a copy request. Medical records will not be faxed. Pursuant to Virginia Code subsection B of 8.01-413, there will be charges surrounding duplication of records in the amount of $0.50 per page for up to 50 pages and $0.25 per page thereafter, plus all postage/shipping costs, and an administrative fee of $10.00. We require payment in advance. Processing will be completed within 15 days from the date we receive your signed authorization and payment. Urgent requests will be treated as such.


Test Results

Results are generally received in our office within 7 days after tests have been performed. All reports must be reviewed by your provider before they may be released to patients. You will be notified promptly when follow up action is required. Lab results that are drawn/collected by Quest labs located in our practice are generally received within a shorter period of time and are given to the patients via an electronic voice mail system – Medvoice.


Quest Labs

The drawing station located in the practice is not a free standing lab, it is a privately contracted lab for patients seen in our practice with labs ordered by our providers only. We are not allowed to draw/collect lab specimens that are ordered by other physicians.
